Library Board Meetings 2002-04, Feb. 18, 2004 Minutes Place: North Plains Public Library Time: 7:00 pm | |
1. Call to Order
2. Flag Salute
3. Roll Call: Craig Edwards, chair; Cindi Hirst, Vice-Chair; Carolyn Leavitt; Cynthia Peterson, Library Director. Excused absence: George Flanagan and Janet Ford.
4. Appearance of Interested Citizens: none
5. Approval of Jan. 21 meeting minutes: Cindi motioned, Craig seconded, all agreed.
6. Orientation of new board member: Carolyn Leavitt
The board decided not to purchase name plates at this time, since we meet informally in the library. Most board documents are on the web, and Cynthia provided the addresses to those background materials.
7. Library Director Report:
- Volunteer fingerprinting: City Manager, Don Otterman, emailed Cynthia about the city's change in policy regarding background checks for volunteers. The city will now be requiring fingerprints be taken and the library will be charged $12/person.
Cynthia will report to Cindi regarding what Hillsboro libraries do for volunteers. Cindi will talk with Don Otterman regarding the change in policy. The $12/person was not budgeted in this year's expenses, so the board is not certain how to absorb costs or even if the fingerprinting is necessary.
- Shelf List: Carolyn worked numerous hours to get the interactive software from Resourcemate up and running on the library website. The software will report what the library owns, not what is checked in or out. The library can be called to find out the exact status of an item.
- Time off for Cynthia: The director is getting tired and needs to take a break. She will take a vacation during the months of May and June, after getting the Summer Reading Program planned.
8. Goal Setting Session: The board skipped this item, insisting that all members be prepared to discuss goals in March for 5 years out and goals for 10 years out.
9. Announcement:
- Gary from Neil Kelly will donate labor to install the countertops on the customized pieces we will have built for the circulation area. Thanks Gary!
- Cindi facilitated another generous team-effort donation for a rolling cabinet for the library. This cabinet can be rolled out to the community hall during open hours for easy browsing. When closing, the cabinet will be rolled back into the library for storage. Oregon Canadian will donate the wood. North Plains Hardware will donate the hardware, and the board will find someone willing to donate labor to build the unit. What a nice surprise!
10. Adjournment. Next meeting date. March 17, 2004.
notetaker: Cynthia Peterson, Library Director
